A customer messages you on WhatsApp at ten at night: "Are you open on Saturday?". If nobody replies until nine the next morning, they may already have gone elsewhere. A chatbot can answer in seconds. But it can also go badly wrong if it is built poorly.
I am Miguel Ángel, founder of GUADIGITAL in Guadalajara, Spain. Here is what a WhatsApp chatbot for business can do, where it falls short, what drives its cost and when it is not for you. No miracle promises.
If you sell to customers in Spain from abroad, or you are an international company opening in Spain, a WhatsApp channel that answers in Spanish (and in English where it helps) can be a quick way to look local and respond fast.
What a WhatsApp chatbot is
It is a program that answers messages on your business's WhatsApp. There are two types:
- Rule-based: follows a closed script (menus, buttons, fixed replies). Predictable and easy to control.
- AI-powered: understands free-form sentences and writes replies from your business information. More flexible, but needs more care so it does not make things up.
The usual setup for a small business is a hybrid: guided replies for the common, AI to understand the question and a person for what matters.
To automate seriously, the free WhatsApp Business app falls short. You use the WhatsApp Business Platform (Meta's official API), which the chatbot connects to.
Cases where it makes sense
- Frequent questions: opening hours, location, directions, what to bring, payment methods.
- Bookings: request, confirm, change and remind.
- First qualification: ask what the customer needs and send you a summary so you can pick it up.
- Order or case status, if connected to your system.
- Out of hours: say when you will reply and collect details for a call back.
- Useful notices: appointment reminders or pending documents.
It fits clinics, advisory firms, workshops, academies, shops with bookings or any business that gets the same questions over and over.
A (hypothetical) conversation
A customer writes to an accountancy firm:
Customer: Hi, what do I need for my tax return? Bot: Hello! I can help. Are you self-employed or an employee? Customer: Self-employed. Bot: Great. Here is the list of documents we usually ask for [list]. If you like, I can book you an appointment: tomorrow morning or afternoon?
And when the customer asks something the bot does not know or is delicate ("I have been fined"), the bot says it is passing them to a person and alerts you. That is what makes automation good: knowing when to stay quiet.
Limits you should know
- It is not a person. Even if it sounds natural, it has no judgement or empathy. For complaints, emergencies or sensitive matters it must hand over to a human.
- It can be wrong. An AI bot can give an incorrect answer with great confidence. You reduce this by limiting it to your own information and testing a lot, but it never disappears completely.
- WhatsApp rules. There is a 24-hour window in which you can reply for free when the customer writes to you; outside it you must use approved message templates. Promotional messages have specific rules.
- Dependence on a third party. WhatsApp and Meta change terms and prices. Always check the current ones.
- It needs maintenance. If you change hours, prices or services, the bot must be updated.
What the rules say
Guidance only, not legal advice, to be checked with your legal adviser:
- Data protection (GDPR): the chatbot processes personal data (name, phone, what the customer says). You must inform people what it is used for and review the providers involved.
- Say it is a bot: it is good practice, and the EU AI Act has transparency obligations (Article 50) when someone interacts with an AI system; according to the European Commission they apply from August 2026 (AI Act timeline). Check how it affects you.
- Commercial messages: do not send advertising on WhatsApp to people who have not agreed to it.
What it costs (and what it depends on)
I will not give you a single figure, because it depends on your case. These are the items:
| Item | What it is | Type of cost |
|---|---|---|
| Design and set-up | Define conversations, connect systems, test | One-off |
| Chatbot platform | The tool where the bot lives | Recurring |
| WhatsApp Business Platform | Messages sent with templates | Per message |
| AI model | Each generated reply | Per use |
| Maintenance | Adjustments, new cases, review of conversations | Recurring or hourly |
On WhatsApp messages: since 1 July 2025 Meta charges per delivered template message, with rates depending on the message type (marketing, utility, authentication) and the recipient's country, while service replies inside the 24-hour window are free (Meta documentation). Amounts change: check them on Meta's site.

What about Meta's own tools?
In June 2026 Meta presented its Meta Business Agent, an AI agent for customer service on WhatsApp, Instagram and Messenger that answers questions, recommends catalogue products, qualifies leads and books appointments, with a person able to take over when you decide. According to Meta, getting started is free and later access will be through paid subscriptions (Meta announcement). The page does not specify availability in Spain or prices, so check before counting on it. It is one more option to weigh against a custom chatbot.
When a chatbot is NOT for you
- You get few messages and can answer them yourself.
- Your service is very delicate or personal and every conversation is different.
- You are not yet clear on what your customers ask.
- You will never review the conversations or update the bot.
- You expect it to "sell by itself": a bot helps you serve, it does not replace your personal touch.
If that is you, sometimes quick replies and good hours on your WhatsApp Business profile are enough.
How to start without getting lost
- Go through your last 50 WhatsApp messages and note the 10 most repeated questions.
- Decide what the bot should solve and what should go to a person.
- Start with one case only (for example, hours and bookings).
- Test for a few weeks and measure how many messages are handled well.
- Expand only if it works.
